We are seeking a highly organized and detail-oriented individual to serve as the dedicated Office Manager and Personal Assistant to a renowned AD Top 100 interior designer based in Los Angeles. This role requires a seamless blend of administrative expertise, exceptional communication skills, and a keen understanding of the design industry to manage the designer’s busy schedule, client interactions, and overall office operations with impeccable standards.
Key Responsibilities:
Executive Assistance:
• Manage the designer’s calendar, scheduling appointments, meetings, client consultations, and travel arrangements with meticulous attention to detail.
• Screen calls and emails, prioritizing urgent matters and effectively communicating with clients, vendors, and collaborators.
• Comprehensive and detailed notes and following up on any and all action items.
• Handle personal errands and tasks as needed, including managing household appointments and coordinating home maintenance.
Office Management:
• Oversee the day-to-day operations of the design studio, ensuring a smooth and efficient work environment.
• Manage office administrative tasks including managing office supplies, vendor relations, and coordinating office maintenance.
Qualifications:
• Proven experience as an Executive Assistant or Office Manager, preferably within the design industry.
• Excellent communication skills, both written and verbal, with the ability to interact with high-profile clients and industry professionals.
• Strong organizational skills with meticulous attention to detail and the ability to prioritize multiple tasks effectively.
• Proficiency in Microsoft Office Suite, project management tools, and design software (e.g., Adobe Photoshop, InDesign, Studio Webware) is a plus.
• Discretion and ability to maintain confidentiality regarding sensitive information.
